Meeting Terms

How does unfamiliarity with meeting terms affects the individuals ability to effectively take minutes?

by not kowning the diffrent terms that should take place in an meeting it can cause conflict in a organisation.

Re: Meeting Terms- meeting terms are used to write minutes and helps to summerize what is said at the meeting. not being familiar with these terms will produce a long and sometimes meaningless wrtten record of what was conducted at the meeting.

- Quorum- this is the amount of persons that are required to be present at a meeting for it to be valid.

- Terms of Reference- this helps to outline the purpose, functions and responsibilities of the. committee

It is very difficult to organise the minutes if you don't have an understanding of the meeting terms, therefore you will not know when a term is being used.

meeting terms are use to help with the writing of minutes and agendas.misusing or not knowing how to use the meeting term can cause one to have inaccurate information and this also causes inconvenient for the next meeting reason, the meeting is unable to follow up from last meeting.

quorum- are members who MUST be present to keep a valid meeting

Being unfamiliar with meeting terms will cause misinterpretation of what should be recorded and will cause the minutes to be written too lengthy with the unnecessary information.

Motion - this is a question or statement put forward that needs to be voted on.

Quorum - This is the minimum number of persons needed to start a meeting.

leNot knowing the right meeting terms to use in a meeting can let you misinterpret what the person is saying and can put you in a difficult position.

Adjournment- to break off till another time.

Dissent- disagrement of opinion

the meeting terms will affect the individual ability by not accurate listening.

Quorum- quroum meeting is a meeting that as the smallest number of person present no question or decision should not be made unless the quroum is present. if the quorum is not their the meeting should be cancel

Recevie- this is when committee receive documents about the meeting what is the meeting all about.

The two that stand out in my mind is:

Notice of motion- At the end of the meeting,members may give notice of their intention to move centain points at the next meeting.

Dissent-eg.if any members feel strongly about a motion that has been carried despite their opposition,they may request that their dissent be voted or record in a minutes.

The purpose of the meeting terms is to provide a smooth operation of a meeting, in other words less disruption and no last minute suggestions which can lead to further misinterpret information and confusion.

Terms of Reference-Outline of the purpose, function, responsibilities of the committee/board.

Adjournment-Postponing or breaking off a meeting for later resumption.

Proxy- When all the members vote and come to an agreement.

If a certain individual is unfamiliar with meeting terms this may result in incorrect information being written when minutes are taken.

Agreed- when a decision on matter was reached.

Reported- usually when an oral report is made.

if a person(s)doesnot know the terms or get the correct/valid information,that can be a waste of time following up on the next meeting because maybe the next meeting will have to be postponed.



Notice Of Motice- this helpthe members to have an idea on what is to take place next meeting

Adjounment- breaking or postpone a meeting until further notice.

Resolve: The committee is asked to support a recommendation.

Receicve: The committee receives documents that form part of the record of the meeting.

An individual would not be knowledgable of the meeting terms or aware of the formating of a minutes.

point of order:its draws the attention out,not only to the chairperson of the meeting but also other member that plays on important roll as well, and can come to agreement of the meeting to an alleged irregularity in the proceeding.
considered:deliberating on a issue were the outcome can be either dissapointed or improvement of the outcome.

THE UNFAMILIARITY WITH THE MEETING IS A CHALLENGE TO INDIVIDUALS IN A SENCE THAT WHEN THEY TAKE THE MINUTES IS WILL POSE AS A CHALLENGE AS TO WHERE TO PUT THE THINGS THAT WHERE DISCUSSED.
QOURUM: IN ORDER FOR A MEETING TO TAKE PLACE THE SMALLEST NUMBER OF PERSONS TO BE PRESENT HAS TO BE THERE IF ANY IS ABSENT THEN THE MEETING HAS TO BE POSTPONED.
MOTION: A PROPOSED RESOLUTION BEFORE IT HAS BEEN ADOPTED BY THE MEETING.

Unfamiliarity of meeting terms such as adhoc,adjournment and so on can be tricky to you the secretary taking minutes of a meeting. You can be side-tracked and mistakenly use terms that does not fit in while the discussion of meeting was taken place.
